Privacy Policy
This Privacy Policy explains what personal data Rimpllee collects, why we collect it, how we use and protect it, and the rights you have over it.

1. Who we are
Rimpllee is a Discord ticketing and server-management service operated by Loek Productions (Rimpllee), established in the Netherlands. For the purposes of the General Data Protection Regulation (GDPR), we are the data controller for the account and billing data described below.

2. Controller vs. processor
When you add Rimpllee to a Discord server and configure it, you decide what data is collected from your members (for example, ticket conversations and form answers). For that member content we act as a data processor on behalf of the server's administrators, who are the controller. For your own account, the servers you manage and your billing, we act as the controller.
3. Data we collect
Account & authentication
When you sign in with Discord we receive, via the identify and guilds OAuth scopes, your Discord user ID, username, avatar and the list of servers you can manage. We do not receive your Discord password or email.
Server configuration you create
Ticket panels, automations, welcome/leave messages, reaction-role panels, forms, blacklists and related settings you set up in the dashboard.
Ticket & form content
To provide the service we process ticket messages and generate transcripts (an HTML copy of a closed ticket), together with the opener's Discord ID, close reasons and form submissions (the answers and the submitter's Discord ID).
AI replies
If a server enables AI replies, we send the relevant ticket messages and the server's configured knowledge base to our AI provider, Anthropic, to generate a suggested or posted answer. Only the content needed to produce a reply is sent. Anthropic processes this data on our behalf to return a response and does not use it to train its models. We store usage metadata (such as the number of replies and token counts) for billing and the server's credit balance; we do not retain a separate copy of the AI-generated message beyond the ticket itself. The server's administrators decide what goes into the knowledge base and are responsible for not placing sensitive personal data in it.
Billing
Payments are handled by Stripe. We do not store your card details — we keep your plan, subscription status and the Stripe customer/subscription identifiers needed to manage your subscription.
Custom bot
If you use Rimpllee Custom, your bot token is stored encrypted at rest (AES-256-GCM) and is only used to run your bot.
Technical
A login-session cookie and a language-preference cookie (see Cookies), plus standard server logs (such as IP address and request metadata) kept for security and to keep the service running.
4. Why we use your data & legal bases
- To provide the service (creating tickets, transcripts, welcomer, dashboard) — performance of our contract with you.
- To take payment and manage subscriptions — performance of a contract and compliance with legal (tax/accounting) obligations.
- To keep the service secure and reliable (abuse prevention, logging, debugging) — our legitimate interests.
- To respond to your requests — our legitimate interests and, where relevant, your consent.
5. Cookies
Rimpllee uses functional cookies only. We set a secure session cookie to keep you signed in to the dashboard, and a rimpllee_locale cookie to remember your language. We do not use advertising or third-party analytics/tracking cookies.
6. Who we share data with
We do not sell your data. We share it only with the service providers (sub-processors) needed to run Rimpllee:
- Discord — the platform Rimpllee operates on (authentication and bot functionality).
- Stripe — payment processing and subscription billing.
- Anthropic — AI provider that generates ticket replies (Claude), used only when a server enables AI replies. Anthropic does not train its models on this data.
- Vercel — hosting of the dashboard and website.
- Neon — managed PostgreSQL database (your configuration and ticket metadata).
- Hetzner — object storage for ticket transcripts.
Where any provider processes data outside the European Economic Area, it is done under appropriate safeguards such as the EU Standard Contractual Clauses.
7. How long we keep it
- Account and configuration data: for as long as Rimpllee is active on your server.
- Tickets and transcripts: kept to provide the transcript feature. After a subscription is cancelled they remain accessible for 30 days, then they are permanently deleted.
- Using the dashboard's “delete all data” option removes Rimpllee's data for that server.
- Invoices and billing records are kept for as long as legally required (in the Netherlands, generally 7 years).
8. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict or object to the processing of your personal data, and the right to data portability. Where processing is based on consent, you can withdraw it at any time. To exercise any of these, email support@rimpllee.com. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
If your request concerns data Rimpllee processes on behalf of a server you are a member of, please contact that server's administrators, as they are the controller for that data.
9. Children
Rimpllee is not directed at children. You must meet Discord's minimum age (at least 13, or higher where local law requires) to use it. We do not knowingly collect data from children below that age.
10. Security
We use industry-standard measures to protect your data, including encryption of custom bot tokens at rest, encrypted connections (HTTPS), and restricted access to production systems. No method of transmission or storage is 100% secure, but we work to protect your information.
11. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by an updated date at the top of this page, and where appropriate we will notify you.
